How We Work

From problem to working system.

Problems We Solve explains the kinds of problems we help with. This page explains what happens after that conversation starts: how we understand the problem, plan the right approach, build or improve the system, put it into real use, and keep improving it from there.

Our five-step process

Understand. Plan. Build. Implement. Improve.

We use five steps to guide the work: Understand, Plan, Build, Implement, and Improve. The amount of work in each step depends on what you actually need. Some projects move through quickly. Others require us to revisit an earlier step as we learn more.

  1. Understand

We start with the problem itself, not with a technology, a product, or an assumption about what you need. We learn how the work happens today: the people involved, the tools already in use, and what already works well enough to keep. You do not need to arrive knowing what technology you need. We figure that out together.

  2. Plan

Once we understand the problem, we decide what the right approach actually is. Sometimes that means adjusting a workflow. Sometimes it means connecting tools you already use. Sometimes it means improving what exists. Building something new is one option among several, not the default starting point. We agree on scope and expectations before any work begins.

    Existing Systems

If your current website or platform, including Wix, Squarespace, or WordPress, already serves you well, we work with it. We recommend moving to something new only when the benefits genuinely justify it. Moving to one of our own products, like WebSoQuick, is never required.

  3. Build

We create or modify the system in a controlled way, protecting the parts you and your customers already rely on. Where the platform allows, changes are built and checked away from the live environment before they are put into use. We use AI where it genuinely helps, such as document search or drafting support, and we do not start with AI as the answer. Before anything moves forward, we check the work against what we agreed to in the Plan step.

    Before We Call It Done

Work is checked against the goal we agreed on, not just against whether it runs. You review and approve important decisions before the work moves forward. Claims about what a system does are kept proportional to what has actually been verified. Nothing ships because it is technically finished. It ships because it does what it was supposed to do.

  4. Implement

Once the work is approved, we put it into real use. Depending on the engagement, this can include deployment, connecting it to the systems you already run, configuration, a planned migration where that is the right call, and handing off access and know-how so you are not dependent on us to operate what we built. Not every engagement needs every one of these. We scope implementation to what the work actually requires.

  5. Improve

Systems are not finished the day they go live. After implementation, we refine and support the system within the scope of the engagement, based on what is working, what needs attention, and what the next agreed priorities are.

What You Own

You own the outcome.

You should remain in control of the system and the decisions around it. We avoid creating unnecessary dependence on Gem Coral Systems, and we make ownership, access, and handoff clear for the work we deliver. Where third-party platforms or services are involved, their own rules and limitations still apply.
